My Tasks is a microservice application that users can access to view the status of their business requests, make, and respond to comments about those requests, and in situations where they are designated approvers, approve or reject business requests submitted by other users and create permanent delegations to route business requests assigned to them to others for approval.

The My Tasks interface consists of several pages of task and request-related information relative to the current user presented in an easy-to-navigate single-page application experience. The main pages are the My Requests page, the To Do page, and the All page. Users navigate from page to page by selecting the desired page from menus prominently displayed at the top of the application.

When users log in to My Tasks, the first view or page they see is the My Requests page, shown below in Figure 1.

The My Requests page contains a list of access requests (EmpowerID Operations) executed within a workflow by the currently logged in user – or by another person requesting resources for the current user – including operations for which the person is authorized to execute (when Never Send for Approval is set to false on workflows linked to the requests) and those requiring further review by a designated approver. Requests can include those requested by the user for themself or for another person (when that user is a manager of the person or has another delegation that gives them the right to do so). Users can view the status of their requests, see who can approve them, add comments, and view how far along in the approval process they are. Each request can be further drilled into to view the specific items in the request.

The My Requests page includes the following:

  • Navigation Sidebar – Allows users to seamlessly navigate from the My Tasks application to other EmpowerID applications

  • Filter pane – The Filter pane provides filters to allow users to selectively filter the requests they see.

    • Show My Filters – Show or hide the Filter pane

    • Requested By – Filters requests in the following manner:

      • Anybody – Displays all requests for the current user, including those made by the user themselves, as well as those made by others on behalf of the user.

      • Myself – Displays all requests that the user initiated, including those initiated for other users.

      • Someone Else – Selecting this option allows users to filter requests initiated for them by a specific person.

    • Requested For – View requests the current user requested for themselves, requests they made for everyone or requests they made for a specific person

    • Approver – View requests where the approver is themselves, a specific person, anybody, and where there is no approver.

    • Show Only Pre- Approved – View requests that were automatically approved by the system based on the delegations granted to the user or specified by policy. Only shows requests when all items of the request meet the criteria for pre-approval.

    • Filter By Status – Provides a filtered view of user requests based on their approval status
      Request View Status Items:

      ▪ Not Ready – The business request has been submitted but the engine has not completed processing for the request.

      ▪ Pending – The business request is pending approval at the global request level.

      ▪ Pending Item – The business request contains an item pending approval.

      ▪ Error – An error occurred in the request process.

      ▪ Approved – The business request has been approved and all process steps have been completed for all request items.

      ▪ Rejected – The business request has been rejected.

      ▪ Canceled

      ▪ Completed – The business request has been processed through all approval and fulfillment stages.

      ▪ Expired – The timeframe for responding to the business request has passed and the request is no longer valid.

      Item View Status Items:

      ▪ Not Ready – The business request item has been submitted but the engine has not completed processing the request.

      ▪ Open – The business request item is open; it has not been acted upon by an approver.

      ▪ Approved – The business request item has been approved.

      ▪ Rejected – The business request item has been rejected.

      ▪ Completed – The business request item has been processed through all approval stages.

    • Filter By Item Type – View requests by specific request item types, such as adding an account to a group

    • Advanced Search – View requests by name or Business Request Number

  • Request View – Provides a grid view of the user’s access requests (Business Requests). The grid displays records with the following information:

    • The name of the request given by the user when the request was submitted

    • The Business Request Number

    • The status of the request

    • For whom the request was submitted

    • By whom the request was submitted

    • The created date

Each record can be clicked to open a pane that contains an Overview of the request and a Process Steps view from which users can see how far along in the approval process the request is. Users can view and add comments here as well.

  • Item View – Provides a grid view of the items in a user’s access requests. The grid displays records with the following information:

    • The name of the item, such as "Add Person to Business Role and Location for Person: Hal Jordan in OrgRoleOrgZone: UI Developer in Columbus"

    • The target resource

    • For whom the request was submitted

    • By whom the request was submitted

    • The Business Request Name to which the item belongs

    • The Business Request Number

    • The date the request was created

Each record can be clicked to open a pane that contains an Overview of the request and a Process Steps view from which users can see how far along in the approval process the request is. Users can view and add comments here as well.

To Do Page

Users navigate from the My Requests page to the To Do page by clicking My Requests and selecting To Do from the drop-down menu.

The To Do page contains a grid with records of access requests (EmpowerID Operations) executed within a workflow for which the current person is authorized to The grid displays a list of all requests for which the person is an approver, regardless of who else can approve the tasks. Each person with the ability to approve the request will see that request as a record in the Request View of the grid. Each request can be further drilled into to view the specific items in the request.

The To Do page includes the following:

  • Navigation Sidebar – Allows users to seamlessly navigate from the My Tasks application to other EmpowerID applications

  • Filter pane – The Filter pane provides filters to allow users to selectively filter the requests they see.

    • Show My Filters – Show or hide the Filter pane

    • Requested By – View requests made by the current user, made by a specific person on behalf of the current user, or made by anyone

    • Requested For – View requests the current user requested for themselves, requests they made for everyone or requests they made for a specific person

    • Filter By Item Type – View requests by specific request item types, such as adding an account to a group

    • Advanced Search – View requests by name or Business Request Number

  • Grid and Card buttons – Allows users to change the view from the default grid view to a card view and vice versa.

  • Request View – Provides Search and Date filters as well as a grid view of access requests (Business Requests) for which the user is an approver.

    • Search – Allows users to filter tasks in the view by the name of the Business Request. Users can enter several letters beginning with the first letter of the Business Request to filter results.

    • Created Between – Allows users to filter tasks in the view by Start Date or End Date. Entering a Start Date filters tasks to those created on or after the specified date. Entering an End Date filters tasks to those created on or before the specified date.

    • The grid (or each card when using that display option) displays records with the following information:

      • The name of the request

      • The Business Request Number

      • The status of the request

      • For whom the request was submitted

      • By whom the request was submitted

      • The created date


        The item type and number of items by type in the request (such as one Application Role and five Business Roles). Item Types can be clicked to provide a quick glance of their status.

Each record can be clicked to open a pane that contains an Overview of the request and a Process Steps view from which users can see how far along in the approval process the request is. Users can view and add comments here as well.

  • Item View – Provides Search and Date filters as well as a grid view of the items in user access requests (Business Requests) for which the current user is an approver.

    • Search – Allows users to filter tasks in the view by the name of the item. Users can enter several letters beginning with the first letter of the item to filter results.

    • Created Between – Allows users to filter items in the view by Start Date or End Date. Entering a Start Date filters tasks to those created on or after the specified date. Entering an End Date filters tasks to those created on or before the specified date.

All Page

Users with the appropriate access will be able to navigate to the All page of the application. This page is an admin view that displays all business requests and business request items processed by the system.
