EmpowerID offers a communication feature that facilitates the recertification process by sending advanced emails to notify recertification participants and, if desired, their managers. This capability ensures that all participants are informed promptly and effectively about their recertification tasks ensuring timely completion and compliance with regulatory requirements. You can send three types of emails to notify for an audit.

All Audit Participants: The email targeting all audit participants aims to remind them about the task of the audit.
Anyone With Unfinished Tasks: This email is intended for individuals who still need to finish their assigned recertification task or have not responded to a recertification request.
Managers of People With Unfinished Tasks: The email aims to notify managers about the recertification task status of their team members who have pending recertification tasks. It would be beneficial to draw managers' attention to their team members' recertification pending tasks.

In EmpowerID, the email templates for notifying audit participants can be customized. The email workflow “NotifyauditParticipants“ includes parameters that allow for the template name to be specified for sending emails to pending reviewers, their managers, and all audit participants. Please make sure that the email templates are rightly configured with appropriate content. To configure the templates, go to Admin > Miscellaneous and Localized Emails. Send a Notification Email

  1. Log in to EmpowerID with the necessary permissions.

  2. On the navbar, expand compliance and click Recertification. Select the Audit tab.

  3. To find the audit, you can type the name in the search textbox and click on the search button to search. Click on the View Details link to open the audit details page.


  4. Click on the communication tab of the details page. This tab will display a button for sending an advanced notification. Click the button to trigger the Notify Audit Participants workflow to send the message.


  5. As previously discussed, select the desired type of recipients to whom the email should be sent.

     

  6. In order to send the email to the chosen recipients, click the "Next" button to submit your request.
