About MyIdentity

MyIdentity is a microservice application provided by EmpowerID and hosted in Azure. It empowers users to manage their organizational identity information while giving administrators the tools to configure and oversee its functionality. Designed as a self-service platform, MyIdentity allows users to update profiles, manage notification preferences, set out-of-office status, and create approval delegations—all within the boundaries you define as an administrator.

Core Purpose of MyIdentity

MyIdentity bridges the gap between user empowerment and organizational controls. It provides a secure, intuitive interface for users to manage their personal identity information while adhering to policies you define. Key features include:

  • Profile Management: Users can view and edit their profiles, maintaining accurate personal and organizational information.

  • Approval Delegations: Users can assign tasks to others when unavailable or when processes require alternate approvers.

  • Notification Preferences: Users control the types and frequency of email notifications they receive.

  • Out-of-Office Status: Users can update their Exchange Online status directly from the application.

MyIdentity supports efficient identity management within controlled boundaries by combining user autonomy with administrative oversight.

Understanding the User Interface

When users log in to MyIdentity, the interface adapts to their roles and permissions, providing access only to features and information relevant to their responsibilities. Understanding the interface from user and administrative perspectives is essential for effective system management. The image below shows the app's default page for users.

Main Navigation

Users navigate the different pages of MyIdentity by using the Page dropdown menu. When clicked, the menu displays menu items with links to the various MyIdentity pages. The pages available to users can be tailored to show only those pages users can access.

White Pages

The White Pages provide a directory of organizational information with the following tabbed sections:

  • My Identities: Displays all identities linked to the user.

  • All People: A searchable directory of all organizational users. Administrators can configure visible fields to balance transparency and privacy.

  • My Direct Reports: A view of team members directly managed by the user.

  • My Department: Shows members of the user’s department.

  • Internals/Externals: Separate views for internal users and external partners or customers.

 

Permanent Delegations

The Permanent Delegations page lets users:

  • Create permanent delegations for specific approval tasks.

  • View outgoing delegations (tasks they’ve assigned to others) and incoming delegations (tasks assigned to them).

  • Edit or delete delegations, with all changes logged for audit purposes.


Notifications and Workflows

  • Workflows: Provides access to workflows users are authorized to run, simplifying task completion.

  • Notifications: Users can customize email preferences, including digest emails and detailed notifications.

 

View Profile

The View Profile page displays basic profile information and organizational data about the user. It provides access to manage aspects of the user’s identity, including setting their Out-of-Office status via the Manage Your Identity workflow.

 

 

Administrative Configuration

As an administrator, you manage MyIdentity by configuring its subcomponents and access controls. The application’s microservice architecture includes modular components, such as pages, controls, and web services, allowing for flexible configurations.

Managing Access Levels

Access Levels determine which MyIdentity features users can access. Administrators assign these levels based on roles, ensuring users have appropriate permissions. For example:

  • Full Access: Managers may need access to Approval Delegations and White Pages for their team.

  • Limited Access: General users may only need profile editing and notification management capabilities.

Customizing Subcomponents

Each subcomponent (e.g., White Pages, Approval Delegations) can be enabled or disabled for specific roles or users. This level of control allows you to:

  • Restrict access to specific features, such as viewing external identities.

  • Enable advanced settings for specific groups, like HR or IT teams.
